Guard Tour Systems Compared: QR Codes vs. NFC vs. GPS

A guard tour system answers one question your client will eventually ask: “How do I know your guard actually walked the property?” For decades the answer was a Detex clock and a paper ribbon. Today it's a phone scan or a location ping. But the three technologies that replaced the punch clock are not interchangeable, and picking the wrong one costs real money.

Here's an honest comparison from people who build this stuff.

What a guard tour system actually does

Every tour system, whatever the technology, does three things:

  1. Proves presence. The guard was at the loading dock, not the break room.
  2. Proves time. At 2:14 a.m., not “sometime overnight.”
  3. Builds the record. The scans roll up into a patrol log a client or a court can read.

The technologies differ in how hard that proof is to fake, what it costs to set up, and what happens when things go wrong: dead batteries, no signal, gloves, rain.

QR codes: the workhorse

A QR checkpoint is a printed sticker or plaque. The guard opens the app, points the camera, done.

The good: Checkpoints cost nearly nothing. Print them yourself, laminate them, done. Replacing a damaged one takes a minute. Every phone made in the last decade scans them. Adding a checkpoint to a new client site takes minutes, which matters when you win a contract on Friday that starts Monday.

The honest weaknesses: A QR code can be photographed. A guard determined to cheat could scan a photo from the parking lot, unless the system stamps GPS on every scan and flags scans that happen away from the checkpoint's known location. Camera scans also want decent light and a clean sticker. A torn or badly faded code needs replacing (which, again, costs a sheet of paper).

NFC tags: the industrial option

NFC checkpoints are small chips, the same tech as tap-to-pay. The guard taps their phone against the tag.

The good: Tap-to-scan works in total darkness, rain, and with the phone in a case. Tags are hard to photograph-spoof; you need physical presence to tap. They survive weather better than paper.

The honest weaknesses: Tags cost $1 to $5 each, and someone has to buy, program, and mount them. Not every phone reads NFC reliably, and cheap Android handsets (which is what many guard companies issue) are the worst at it. When a tag dies, and they do, a replacement has to be programmed, not printed. NFC tags can also be cloned by someone with a $30 reader and intent, so the “unspoofable” reputation is only mostly true.

GPS check-ins: the invisible option

No physical checkpoint at all. The system records the guard's location continuously, or at check-in points defined as map coordinates.

The good: Zero hardware. Works across huge sites like parking structures, campuses, and perimeter fence lines, where mounting tags every 200 feet is impractical. Gives you the route between checkpoints, not just the stops.

The honest weaknesses: GPS drifts. Indoors, in stairwells, between tall buildings, an honest guard can read as 80 feet from where they stand. A system that hard-fails a patrol on GPS alone will generate false misses and angry 3 a.m. phone calls. GPS spoofing apps also exist, so location alone is weaker proof of presence than a physical scan. And continuous tracking raises a privacy question you should be able to answer in one sentence: when does tracking stop? (Our answer: at clock-out, always.)

The verdict: it's not either/or

The honest answer is that the strongest proof comes from layering: a physical scan (QR or NFC) plus a GPS stamp on every scan, plus timestamps that can't be edited after the fact. The physical scan proves presence, the GPS stamp catches photo-spoofing, and the immutable timeline turns it all into evidence.
